Governance Specialist

The Asset Management Specialist is responsible for overseeing the life-cycle management of all system information technology assets including acquisition and maintenance, inventory tracking, and disposal of hardware and software. The role is responsible for the daily and long-term strategic management of software and technology-related hardware within the organization. The Asset Management Specialist plays a support role in planning, designing, and implementing the asset management plans and policies.

  • Plans, monitors, and records software licenses and/or hardware assets to ensure compliance with vendor contracts.
  • Develops and implement procedures for tracking systems assets to oversee quality control throughout their life cycles.
  • Plans and oversees a system-wide IT asset management program.
  • Creates and maintains a list of system-level contacts to assist with the maintenance of asset management databases.
  • Develops procedures for department-level staff to maintain the asset database.
  • Conducts training as needed to engage the system community inaccurate data collection and maintenance of asset records.
  • Establish, maintain, and enforce asset management procedures and standards.
  • Creates and maintains an asset management procedure manual that contains detailed descriptions of system functions, tasks, responsibilities, etc.
  • Creates and maintains asset management web pages.
  • Coordinates system-wide hardware disposal efforts
  • Reviews system purchase requisitions for compliance with IT standards for hardware, software, and vendor selection.
  • Generates asset tracking reports as needed by IT leadership for planning and budgeting purposes
  • Performs  regular proactive maintenance actions to ensure managed accounts will have data accuracy
  • Identify  and escalate process gaps and opportunities for improvement
  • Other job-related activities that may be assigned from time to time.


  • Education –  At least graduate with a Bachelor’s Degree in IT, Computer Science, Engineering, or any related course.
  • Related Work ExperienceAt least 3 years of operational experience in data analysis/management and the delivery of operations through the use of technology solutions.
    • Experience with transactional operations execution to defined service level agreements and quality.
    • Background in distribution, logistics, and order management processes.
    • Significant Excel spreadsheet experience on advanced formulas and pivot table functions for data gathering and analysis
  • Knowledge –  Knowledgeable  in the following:
    • hardware and software lifecycle management.
    • Microsoft Office applications: Word, PowerPoint, Visio; knowledge on Access is a plus.
